Check-ins: Overview

How clients check in on a schedule, and how you review them quickly.

Check-ins are how you stay on top of every client without chasing them. Each client submits a check-in on a set schedule; the app pulls together their whole week — health metrics, activity, fuel, sleep and journals — and Areela summarises it into clear insights so you can review in seconds and respond.

Where to find check-ins

Open Check ins from the menu, or tap the Review Check-ins card on your home screen. The Check ins screen groups clients by status:

  • Ready for review — clients who have checked in and are waiting for you to review.

  • Overdue review — clients whose review is overdue.

  • Late check in — check-ins that came in after the window.

  • Draft check in — clients who have started but not yet submitted.

Setting up check-ins (Configuration)

The Configuration section is where you set how check-ins work for your clients:

  • Check in windows — create the schedules clients check in on. Alongside a Weekly window you can add custom ones (e.g. Fortnightly, Monthly), each with a Check in open day and a Coach review day, and assign clients to them — so different clients can be on different schedules.

  • Progress photos — a toggle for whether clients include progress photos.

  • Check in prompts — the questions/prompts clients respond to in their check-in.

Reviewing a check-in

Tap Review to see the clients who've checked in — each showing how long ago they submitted and their check-in type (e.g. "Weekly check in"). Open a client and you'll see two tabs:

  • Insights — Areela's summary of the week in three sections: the client's own thoughts (including a voice note), a "What went well" list of wins, and "Needs attention" (the watch-outs).

  • Overview — the week's data: daily status (a status, activity and mood per day), headline metrics (weight, resting HR, steps) with “view all health metrics”, and drill-in sections for Activity, Fuel, Sleep and Journal, each with an Areela narrative.

When you've reviewed, tap Next to move to Adjustments. Areela suggests recommendations from the week — apply them, or tap Ignore — then tap Complete Adjustments.

Next, choose how to reply: Text, Voice or Video. Turn on Teleprompt and Areela drafts a script from the check-in for you to read from (with settings for speed, text size, position and overlay). Record, play back, then confirm.

Tap Send my reply on the “Ready to send?” screen. You'll see Check in complete — the client receives your reply shortly, and that's the check-in closed off.
